Plain-English summary

We collect the information we need to set up your business account and to quote, supply and deliver the hardware you order. We use trusted providers to take payment, send email, sign documents and ship goods, and we don't sell or rent your information. Your account is protected by encryption in transit and multi-factor authentication. You can reach our Privacy Officer any time at info@voxtek.com.au.

01About this policy

Longo Tech Pty Ltd (ABN 55 665 472 177), trading as VoxTek ("VoxTek", "we", "us"), provides an IT hardware procurement platform for Australian businesses. This policy explains what personal information we handle, why, and how we look after it. It applies to anyone who visits our website, registers for an account, or transacts with us.

We comply with the Australian Privacy Act 1988 (Cth), the Notifiable Data Breaches scheme, and the thirteen Australian Privacy Principles issued by the Office of the Australian Information Commissioner.

02Information we collect

We collect the information we need to provide a business procurement service. This typically includes:

  • Account & business details — your name, work email, phone number, position, company name, ABN, and billing and delivery addresses.
  • Quotes & orders — the products you search, configure, quote and order, and the history of those transactions.
  • Payment & finance records — invoices, payment status, and (where you apply for finance) the information needed to facilitate a finance application.
  • Authentication data — your password (stored only as a secure hash), and your multi-factor authentication status. If you sign in with Microsoft, we receive your verified email address and name from Microsoft (see clause 5).
  • Support & technical information — correspondence with us, and the technical logs needed to operate the platform, keep it secure, and resolve incidents.

We collect this information directly from you when you register, request a quote, place an order or contact us, and automatically through ordinary operation of the platform.

03How we use it

We use the information we collect to:

  • Set up and verify your account, including the approval step before an account becomes active.
  • Prepare quotes, process orders, take payment, arrange finance where requested, and deliver goods.
  • Send you transactional messages — quotes, order confirmations, invoices, finance and delivery updates, password resets and security notices.
  • Provide support when you ask for it.
  • Operate, secure and improve the platform, in aggregate and de-identified form where possible.
  • Meet our legal, tax and audit obligations.

We do not sell, rent or trade personal information, and we do not use it for behavioural advertising or to train AI models.

04Payment information

Card payments are processed by our payment provider, Stripe. Your full card number is entered with Stripe and is not stored by VoxTek; we retain only a record of the payment (such as amount, status and a reference). EFT payments are made directly to our bank account and we record the payment against your order.

05Signing in with Microsoft

If you choose to sign in with Microsoft, we use Microsoft Entra ID (Azure AD) to authenticate you. We receive your verified email address, name and a unique identifier from Microsoft in order to create or match your account. We do not receive your Microsoft password, and we do not access your mailbox, files or other Microsoft data — we request only basic sign-in information. Your use of Microsoft sign-in is also subject to Microsoft's own privacy terms.

06Where your information is stored

Your account and order information is held on infrastructure operated by or for VoxTek, hosted in Australia. Some of the providers we rely on to run the platform (clause 7) operate globally; where that involves storing or routing information overseas, we address it under clause 9.

07Who we share information with

We share information only as needed to run the service or comply with the law.

  • Service providers (sub-processors). A short list of trusted vendors helps us operate — including our payment processor (Stripe), email delivery provider (Resend), e-signature provider (DocuSign), Microsoft for sign-in, and our hosting provider. Each handles information only as needed to provide its service.
  • Distributors and carriers. To source and deliver your order, we share the details necessary for fulfilment (such as the delivery address and the products ordered) with the relevant distributor and freight carrier.
  • Finance funders. Where you apply for equipment finance, we share the information needed to facilitate your application with the relevant funder, who then deals with you under its own terms and privacy policy.
  • Professional advisers and authorities. Our lawyers, accountants and auditors under confidentiality obligations; and authorities where we are compelled by a valid Australian legal process. Where we are legally permitted to notify you in advance, we will.
  • Successor. If the VoxTek business is sold or merged, your information may transfer to the successor under equivalent privacy obligations.

08Security

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including:

  • Encryption of data in transit (TLS).
  • Passwords stored only as salted, hashed values — never in plain text.
  • Mandatory multi-factor authentication for password sign-in, and federated sign-in via Microsoft where you choose it.
  • Role-based access controls, with administrative access limited to those who need it.
  • Logging, monitoring and a documented incident-response process, including the Notifiable Data Breaches scheme where it applies.

No system can be guaranteed completely secure, but we work to protect your information and to respond promptly if something goes wrong.

09How long we keep it

  • Account, quote and order records: kept for the life of your account and then for seven years, to meet ATO and corporations-law record-keeping obligations.
  • Payment and finance records: kept as required by law and our providers' obligations.
  • Support correspondence: kept for a reasonable period, then archived or deleted.
  • Website and technical logs: kept for a short period (around ninety days) for security and troubleshooting.

10Overseas transfers

VoxTek is an Australian business and stores customer account data in Australia. Some of our providers operate globally — for example, our payment, email, e-signature and Microsoft sign-in providers may process or route information through overseas data centres. Where personal information is handled overseas, we take reasonable steps to ensure it is protected to a standard consistent with the Australian Privacy Principles, in line with Australian Privacy Principle 8.

11Cookies & the website

Our website and platform use a small number of cookies and similar technologies:

  • Strictly necessary — to keep you signed in and to operate the platform securely.
  • Analytics — to understand, in aggregate, how the site is used so we can improve it.

We do not use behavioural advertising cookies. You can clear or block cookies from your browser settings, though some features may not work without the necessary ones.

12Your rights

Under Australian privacy law you have the right to:

  • Ask what personal information we hold about you and request a copy.
  • Correct anything that is inaccurate or out of date.
  • Ask us to delete information we hold, subject to our legal retention obligations.
  • Withdraw consent, where consent is the basis of our handling.
  • Object to a particular use of your information.

To exercise any of these rights, email info@voxtek.com.au. We respond within 30 days, usually sooner. We may need to verify your identity first.

13Complaints

If you think we have mishandled your information, please tell us first — we want to fix it. Email info@voxtek.com.au and we will acknowledge within two business days and respond substantively within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

14Changes to this policy

We update this policy when our practice or the law changes. The "Last updated" date at the top of the page reflects the most recent revision. For material changes that affect how we handle existing customer information, we will take reasonable steps to notify account holders.
